Step 1 - Evaluation
We'll evaluate your group travel or corporate meeting objectives, preferred travel destinations, desired event dates and projected group size.

Step 2 - Requirements
During the site selection consultation, we'll work with you to define your requirements for vendor exhibits, meeting space and recreational amenities to help best match your requirements to available venues. An ideal venue combines business and pleasure in an ambience that promotes harmony and allows participants to focus, create, restore and refresh. 

Step 3 - Comparative Summary
As a meeting planning firm, PCM & Associates looks at properties from the perspective of a meeting planning professional, taking into account logistics, floor plans, multimedia requirements, catering services, and attendee comfort and enjoyment.  We will prepare a comparative summary for presentation to you that clearly outlines all your available choices. After a thorough search of the chosen destination, we select the most suitable properties within your budget and then we then present the best proposals for your consideration. 

Step 4 – Site Inspection
We will arrange a site inspection to ensure that the proposed venue meets or exceeds your expectations.

Step 5 - Contract
Once you've made a decision, we'll negotiate the fine print with the hotel/resort of your choice to ensure that you get what you need to host the ideal meeting, conference or incentive travel program.

Through every step of the contract negotiation and site selection process, our job is to provide you with the advice you need to make a decision. The hotel/resort knows that you are the decision maker which allows you to maintain control over the site selection process.

Our site selection services are complementary to our clients because we are a licensed travel provider and can therefore collect a commission from the hotel you choose on each room that is sold. The hotel industry has a long standing relationship with the travel industry and they expect that a large number of reservations and groups will come through agencies, so the cost of commission is built right into their business plans. Therefore, rates do not go up because a client is represented by an agent. On the contrary, we can usually secure better rates than a client can by themselves because of the high volume of business we transact with hotels and resorts.
